Refunds & cancellations

Scope of this policy

This policy applies to professional engagement fees and deposits for Node Query Hub audit and assessment work described on this site. We do not sell physical goods, software licenses, or course seats.

Deposit & confirmation

A 40% deposit reserves fieldwork dates. The deposit becomes part of the engagement fee when work proceeds. The remaining 60% is due on issuance of the final findings pack unless the engagement letter states otherwise.

Cancellation by the client

• More than 14 days before fieldwork start: deposit refunded minus an administrative fee of THB 8,000 for scheduling and scoping already performed.
• 7–14 days before fieldwork start: 50% of the deposit is refundable.
• Fewer than 7 days before fieldwork start: deposit is non-refundable.
• If fieldwork has started (information testing or interviews begun), fees for work completed are payable; unused future days may be credited toward a rescheduled window within three months.

Rescheduling

One reschedule with at least 7 days’ notice is available without penalty, subject to calendar availability. Later or repeated reschedules may incur a THB 5,000 calendar fee.

No-shows

If nominated client contacts fail to attend scheduled interview blocks without notice, those hours are treated as delivered for billing purposes.

Work already started

Draft findings, working papers, and partial testing are client-confidential deliverables of work performed. Fees corresponding to completed stages are non-refundable. We will itemize stages in the engagement letter.

Non-refundable items

• Scoping calls that do not convert to an engagement (no charge unless a paid diagnostic was agreed)
• Third-party travel booked at the client’s request after written approval
• Rush surcharges for compressed year-end windows once fieldwork has begun

Refund method & timing

Approved refunds are returned to the original payment method within 14 business days of written approval. Bank transfer refunds inside Thailand may require matching account details for compliance checks.

Exceptions

Statutory rights under Thai law that cannot be waived remain available. Engagement letters may set stricter delivery milestones for regulator-driven reviews; those milestones prevail when expressly stated.
